Documents & Sharing
Everything your business and your accountant exchange lives in one place. This guide covers how folders organize themselves, exactly what your accountant can and can't see, how to share a single file with someone outside the account, and what the limits are.
Two Views of the Same Files
Documents look different depending on which side of the relationship you're on, and that's deliberate.
- As a business client, open Documents in the sidebar and choose My Documents. The page is called Document Manager: your folders on the left, your files on the right, with counts for All Documents, Receipts, Tax Forms, and Folders across the top.
- As a tax professional, My Work → Documents opens the Documents Portal — a firm-wide triage surface with Files, Requests, and Upload linkstabs. It answers "what needs my attention across every client." To browse one client's folder tree, upload for them, or share a file to their portal, open that client from Clients and use their Documents tab.
The Files tab groups incoming work into inboxes — Needs review, Past due, Assigned to me, Unassigned uploads, This week, and All documents — so nothing sits unnoticed.
How Folders Work
There is no empty folder skeleton to fill in on day one. Folders are created the moment they're needed, named for what goes in them:
- Receipts — receipts you upload or capture.
- Bank Statements — statements brought in for reconciliation.
- Tax Documents – 2026 — one folder per tax year.
- Secure Uploads — files that arrived through an upload link.
- Signed Documents — completed e-signature copies.
- Uploaded by Pro — files your accountant put in your workspace.
- Conversation Attachments and Project & Task Attachments — files attached from a message thread or a project.
On top of those you can build whatever structure you like. Use Create Folderin the header, nest subfolders as deep as you need, pick a color, and drag documents between them. Renaming, moving, and deleting all work from the folder's own menu.
The client sidebar splits into two groups: My documents (your own folders, plus All my uploads and a folder search box) and From your pro (Shared with me plus any folders your accountant shared with you). A Project documents row collects everything attached to engagements.
Uploading Files
Open the upload dialog
Click Upload Documents from the page header, the folder toolbar, or the empty-state button in an empty folder.
Pick a type and a destination
Choose a Document Type, or leave it as Other and let AI classify the file for you. Then choose the destination folder — the current folder is pre-selected.
Drop the files in
Drag and drop, or use Browse files. Each file shows its name and size before you commit, so you can remove one you didn't mean to include.
Professionals uploading on a client's behalf get one extra control: a Share with clientcheckbox, plus an optional note that goes with the file. Tick it and the document appears in the client's portal as soon as it finishes uploading.
Once files are in, select several with the row checkboxes to Download ZIP (up to 100 at a time), Move them to another folder, or Delete them together.
Who Sees What
The rule is shared by default inside the working relationship. Within the client-and-firm pair, documents are visible without anyone pressing a share button — with one clear exception for the firm's own internal work.
What a client sees
- Everything in their own company's account.
- Everything they uploaded themselves.
- Anything their accountant filed into their workspace — no separate "share" step required.
- Files that arrived for them through an upload link.
The exception: folders the firm created for its own internal use and has not marked as visible stay firm-only. A client never sees them, and never sees that they exist.
How a pro deliberately shares with a client
For project files — which are firm-internal by default — the pro shares explicitly:
- Per file: Share with clientin the document's menu, or the bulk Share with clientdialog to pick several files from a folder at once. Already-shared files are marked and can't be double-shared; Unshare with client reverses it.
- Per folder: a Visible to client switch, with optional sub-permissions for whether the client may upload into it or delete from it, and a checkbox to email them about it. Sharing a subfolder whose parent is already shared creates an independent share that survives the parent being unshared.
Files the client uploaded themselves can't be "shared with" the client — they're already in the client's portal, and the menu says so.
How a client shares with their firm
Clients share at the folder level. Open a folder and click Share with firm (it becomes Manage sharingonce shared). On the pro side, folders a client has shared appear separately from folders the client hasn't.
Signed Documents
When an e-signature envelope completes, the signed PDF is filed automatically into a Signed Documentsfolder in the client's workspace — no download- and-re-upload step. Both the client and the firm see it there, and it carries an E-Signedsource badge in document lists so it's easy to spot.
Additional signers who have their own account also get access to their signed copy, and those copies are kept accessible indefinitely rather than expiring — a signed document should never go dark on the person who signed it.
From a signed document's row menu you can jump straight back to the original envelope to see the signing history.
Supported File Types & Sizes
Uploads accept a wide range of everyday business formats:
- Documents: PDF, DOC, DOCX, ODT, RTF, TXT, MD
- Spreadsheets: XLS, XLSX, XLSM, XLSB, ODS, CSV
- Presentations: PPT, PPTX
- Apple iWork: Pages, Numbers, Keynote
- Email: EML, MSG
- Bank exports: OFX, QFX, QBO
- Images: JPG, JPEG, PNG, GIF, WEBP, HEIC, HEIF, TIF, TIFF, BMP
- Data & archives: JSON, XML, ZIP, RAR, 7Z
Anything outside that list is rejected before it uploads, with a message naming what is supported.
A single file can be up to 100 MB, on every plan including Free. File size is a technical limit, not part of what you pay for — what counts toward your plan is total storage. Files sent through a public upload link follow their own limit of 50 MB per file, up to 20 files per submission.

Every plan includes a storage allowance, checked before each upload so you never discover the ceiling halfway through a filing.
Business plans

Professional plans
- Solo Pro: 250 GB
- Firm Plan: 1 TB
If an upload would push you past the limit, it's blocked with a message showing how much you've used, how much is left, and how big the file was — so the fix (upgrade, or clear out old files) is obvious. Deleted documents stop counting against your total.
Frequently Asked Questions
Can my accountant see everything in my account?
They see the documents in your workspace — that's the point of working together. What they cannot do is see into folders you haven't shared with them from your own side; folder-level sharing with your firm is an explicit action you take.
Can I see my accountant's internal working papers?
No. Folders the firm keeps internal are invisible in the client portal until the firm marks them visible to you. When they do share something, it shows up under From your pro.
Does a share link expire?
Always. You choose the window when you create it — anywhere from 24 hours to 30 days, defaulting to 72 hours — and the link stops working by itself once that time is up. You can also revoke it early.
What happens to a document I delete?
Deleting is confirmed first, and the space it used is freed from your storage total. Deleting a folder is different: the folder goes, but the documents inside it move to uncategorized rather than being destroyed.
Why can't I delete or share a document my accountant sent me?
Documents shared with you are read-only on your side — you can preview and download them, but rename, move, share, and delete are reserved for whoever owns the file.
