Upload Links & Document Requests
The fastest way to get documents out of a client's inbox and into your firm. Upload links let clients and prospects send files securely without creating an account — and every submission lands in one place, already matched to the right client where DynaTax AI can tell.
What Upload Links Are
An upload link is a public web address you can send to anyone. Whoever opens it sees a simple form with your firm's name and logo, drops their files in, and hits Send securely. That's the whole experience — no sign-up, no password, no app to install.
There are two flavors, and most firms use both:
- Your branded upload page — one permanent link for your whole firm. Put it on your website, in your email signature, on a business card. It never expires.
- One-off links— a link created for a specific purpose ("W-2 & 1099 Upload — Tax Season 2025"), optionally tied to a client or project, with its own expiry date and submission limit.
Where to Find Them
In the pro portal, open My Work → Documents. The page has three tabs: Files, Requests, and Upload links. Everything in this article lives under the last two.
The Upload links tab is itself split into four sections down the left side:
- Upload page setup— configure your firm's branded public page.
- Submissions inbox — uploads that were matched to a client.
- Unmatched senders— uploads from an email address DynaTax AI couldn't place, waiting for you to assign them.
- One-off links— the links you've created, and the button to create another.
The Documentsitem in the sidebar carries a count badge when files are waiting for review, so you can see there's work without opening the page.
Your Branded Upload Page
Under Upload page setup you pick a short URL slug for your firm. That gives you a permanent public address in the form /u/your-firm-name that you can hand out freely.
The setup screen covers:
- Public link — your slug, plus quick actions to copy or open it.
- Look & feel— your logo, an optional photo, and a theme with a custom brand color. The color carries through to the visitor's Send securely button.
- Contact on public page — the email address shown to visitors who have a question.
- Accept client uploads— a switch that opens or closes the page. When it's off, visitors see a "not accepting files" notice instead of the form. Turn it on when you're ready.
Creating a One-Off Link
Open One-off links and start a new link
Go to My Work → Documents → Upload links → One-off links and create a link. The Create Secure Upload Link dialog opens.
Describe what you're collecting
Give the link a Title (this is the heading the recipient sees), an optional Description, and an optional Message to uploader for instructions — both appear on the public page.
Set the rules
Choose Expires in — 7 days, 30 days, 90 days, or Never. Optionally Link to client and Link to project so submissions file themselves. Use Allow multiple submissions and Max submissions to cap how many times the link can be used.
Decide what happens on arrival
Send confirmation email to uploader emails the sender a receipt. Require manual review before filingforces every submission into the pending queue; leave it off and recognized senders' files are filed to the client automatically. Under Notify when files arrive, pick which team members get pinged — with everyone off, only the link's creator is notified.
Share it
The Secure Upload Link Ready screen shows the Upload URL and a QR code. From there you can Copy Link, Send via Email, Download QR, or Create Another.
You can edit a link later — the title, expiry, limits and notification settings all change, but the URL itself never does, so anyone who already has the link keeps working.
What the Recipient Sees
Both the branded page and a one-off link open the same simple form, headed by your logo and firm name. The visitor fills in:
- Your email and Your name — these are what DynaTax AI uses to work out which client the files belong to.
- Files — drag and drop, up to 20 files per submission, each up to 50 MB.
- Message (optional) — anything they want to tell you.
Files upload straight to secure storage with a progress bar for each one. If a file fails, the finished ones stay done and only the failed file re-uploads. When it's finished they see Upload completed successfully along with a Reference ID to keep for their records — and a receipt email if you enabled one.
If a link is switched off, past its expiry date, or has hit its submission cap, the visitor gets a plain explanation and a prompt to ask you for a new link — never a broken page.
Where Uploaded Files Land
Every submission arrives under Upload links in either Submissions inbox (sender recognized) or Unmatched senders (sender not recognized). Both sections show a running count of items still waiting on you.
When the sender is matched to a client and the link doesn't require manual review, the submission is accepted automatically and its files are filed into that client's Secure Uploads folder without ever entering the pending queue. Turn on Require manual review before filingon the link if you'd rather approve everything by hand.
How Files Match to a Client
Matching is based on the email address the sender typed into the form. DynaTax AI checks, in order:
- A remembered sender.If you've previously assigned that email address to a client, it goes straight there — you only triage a new sender once.
- The client's own email, or the email on their linked login.
- An active team member of that client's business.The office manager who sends the bank statements doesn't have to be the client contact on file.
Matching is exact and case-insensitive on the full address — a shared domain alone is never enough to file someone's documents to a client. Anything that doesn't match lands in Unmatched senders for you to place.
A one-off link that you tied to a specific client with Link to client skips the guesswork entirely — whatever comes through that link belongs to that client.
Document Requests
An upload link says "send me files." A document requestsays "send me these specific files" — an itemized checklist your client works through, with a due date, that tracks itself as items come in.
Requests live on the Requests tab of My Work → Documents, and you can also start one from a client's workspace. The Request Documents dialog walks through three steps:
Select Client
Confirm the client, pick the Project the request belongs to, and optionally set a Due Date and a Note for Client.
Add Documents
Use Quick Add Common Documentsto pick from a built-in list grouped by category — Tax Documents (W-2, the 1099 family), Financial Statements (bank and credit card statements, P&L, balance sheet), Identity Documents, Business Documents, and Legal Documents — or click Add Custom for anything else. Each item can be marked Required document.
Review and Send
Check the list, then choose whether to Send email notification to client and Send in-app notification. Hit Send Request.
Requests Inside a Conversation
A document request can also run inside a message thread with your client. When the thread is a document-request topic, files the client attaches to the conversation are linked to the matching open request automatically: the checklist items flip to submitted, the request moves to in-progress — or to completed once every item is in — and you get an in-app notification and an email telling you what arrived.
For the client, that means no separate portal trip. They answer the message, attach the W-2, and the request updates itself.
Frequently Asked Questions
Does the person uploading need a DynaTax AI account?
No. That's the point of an upload link — prospects, a client's bookkeeper, a bank, anyone can send you files without signing in. After a successful upload they're offered the option to create an account so they can track the submission, but it's entirely optional.
How big can a file be, and how many at once?
Up to 20 files per submission, each up to 50 MB. If someone tries to add a larger file, the form tells them before they submit so nothing fails halfway.
Can I turn off my branded page without deleting it?
Yes. Switch Accept client uploads off in Upload page setup. The link stays valid and your settings stay put; visitors just see a notice that the page isn't accepting files right now.
If I edit a link, do I have to resend it?
No. Editing a link changes its settings, not its URL — anyone who already has the link keeps working.
What's the difference between an upload link and a document request?
An upload link is open-ended and works for people who have no account. A document request is an itemized, tracked checklist for an existing client, tied to a project and optionally a due date. Use links to collect; use requests to chase.
